Here’s how to be ready.

Congratulations on your accepted submission for NCRRRE 2026. This page covers how long you’ll have, how to get your presentation onto the room computer, and exactly what equipment is waiting for you. Read it now, then skim it again the week before the conference.

Half your slot is conversation — come with a couple of prompts to get the discussion going.

Poster

Display + session

Poster session · Wed afternoon tea

Bring your printed A0 poster. You’ll stand with it during the poster session so delegates can talk to you about your work.

Get your file ready

For Academic and Case Study presenters.

Save your presentation as PowerPoint (.pptx). If you built it in Keynote or Google Slides, export to .pptx and open it once to check nothing has shifted. Bring a PDF copy as a fallback.

Set your slides to 16:9 widescreen — the room screens are 16:9, so anything else will sit inside black bars.

✓

Embed your fonts and put any video or audio files on the same USB. Fonts you have at home won’t be on the room computer.

Name your file with your session code and nothing else — e.g. 01A.pptx or 07C.pptx. When you upload, our system adds your name automatically, so that’s all we need to match your file to you. View the program to see your Session.

One thing to plan around

You’ll present from the computer provided in the room — there’s no option to plug in your own laptop. Everything you need has to be on your USB or uploaded ahead of time.

Two ways to get us your file

Do one. Doing both is even safer.

Option A · Recommended

Upload ahead of time

Send us your presentation before you travel and we’ll have it loaded and waiting.

Option B · Always available

Bring it on a USB

Bring your presentation on a USB stick and load it onto the room computer before your session starts. This works even if you’ve missed the upload window — and it’s the backup we recommend everyone carries, uploaded or not.

On the day, in the room

A few minutes of prep saves a scramble.

During the catering break before your session, head to your room and check your presentation is loaded — or load it from your USB then. Either way, be at your room at least 10 minutes before your session block starts, not just before your own talk.

Open your file on the room computer so it’s cued up and ready before the session begins.

Introduce yourself to your session chair. They’ll keep time and run the questions, so it helps to say hello first.

Have your backup handy: your file on the USB, uploaded, and a PDF copy — three ways in means no single failure stops you.

Poster presenters

Everything you need — you won’t use the upload, USB or room AV above.

Your poster

Print your poster at A0 size and bring it with you — printing and delivery are your responsibility.

Make sure it clearly shows:

  • Presenter name(s)
  • Organisation name
  • Job title
  • Email address(es)

Bring a few business cards to leave beside your poster too.

Putting it up

Poster boards are in the Conference Foyer from 8:00am, Wednesday 19 August. Put your poster up any time from then — Velcro dots are provided to fix it to the board.

Every poster must be in place by 10:00am, Wednesday 19 August.

The poster session

Your session runs during Wednesday afternoon tea. Stand with your poster for the whole session so delegates can come and talk to you about your work.

Packing down

Take your poster down from the end of Thursday afternoon tea.

It must be removed by 4:00pm Thursday — anything still up after that is discarded.

Online upload closes. After this, bring your presentation on a USB.

Good to know before you present

The presenting terms you agreed to, in short.

  • Presentations are delivered in person at the Mercure Ballarat — there’s no remote or pre-recorded option.
  • Photos may be taken during your session and used by SPERA for promotion, in print, online and on social media.
  • Your presentation materials may be shared with registered conference delegates.
  • The committee sets the date and time of every session; your slot will be confirmed in the program.
